Holding a Successful Beaveree

Reviewing the event



In the tradition of good Leadership and programming, the success of the Beaveree is reviewed to identify areas which really worked well and areas which could be improved. Some of the topics which are normally covered during a review are as follows:

  • suitability of the location:

  • did it meet our needs (large enough)?
  • did it fall within our cost guidelines?
  • how was the support?
  • washroom/fresh water/parking/access?
  • safety?
  • date of event:

  • was it a good day?
  • was it on an appropriate day of the week?
  • did it coincide with other District events?
  • did it coincide with other Community events?
  • participation:

  • how many boys attended?
  • is this considered a good turnout?
  • how can we increase attendance for next year?
  • why did some Colonies not attend?
  • publicity and communications:

  • was everyone informed of the event?
  • did everyone know how to participate?
  • was there media coverage?
  • what did we do to help promote the event next year?
  • were there any surprises?
  • was the Public Address System suitable?
  • Crests:

  • how was the design received?
  • did everyone get one who should have?
  • did we have enough crests? Too many?
  • what do we do with the left over ones?
  • Security/1st Aid:

  • was security adequate? Any major concerns?
  • was 1st Aid adequate? Any major incidents?
  • what equipment should we have for next year?
  • Financial:

  • did financial transactions conform to guidelines?
  • did we have enough money? Too much left over?
  • what improvements can we make next year?
  • what to do with left-over funds?
  • Registration:

  • how did this go? How were late registrations handled?
  • what can we improve on next year?
  • did everyone know how to register?
  • did we receive on-site registration lists from everyone?
  • Meetings:

  • were there enough/too many meetings?
  • was the location and timing of meetings suitable?
  • how was the attendance at each of the meetings?
  • can we make some improvements in this area?
  • was there enough communications after each meeting?
  • Colony activities:

  • how did the boys enjoy the crafts? Games? etc?
  • were the activities age appropriate?
  • do we need to develop guidelines for the activities?
  • did the leaders and parent helpers have fun?
  • did the 'organizers' have fun?
  • Beaveree Committee:

  • did the members work well together as a team?
  • was there any cross-pollination of training?
  • are the position descriptions adequate?
  • did everyone know what was expected of them?
  • how can the committee work better as a team?
  • Theme:

  • did the theme fit in with Scouting?
  • how adaptive was the theme? To games/crafts/etc.?
  • should this theme be repeated in future years?
  • how should we choose a theme next year?
  • did everyone agree with the theme?
  • Other topics are also discussed, depending on the outcome of the Beaveree; the intent of this review meeting is not to lay blame but to identify what areas should be improved; even when the event does not meet all expectations there are areas of high success which must be identified and built upon.

    It is recommended that a brief report be produced out of this meeting to clearly state the actions which should be taken to improve the event for the next year.
